1. Scope and general principles
This policy applies to relevant purchases, project engagements, software subscriptions and other services offered by Ecolods (TPS) through its website or under a separate quotation, purchase order, proposal or agreement. Where a signed agreement or order-specific policy sets out different terms, that document should be read together with this policy and will govern to the extent permitted by applicable law.
Ecolods (TPS) primarily provides technology and IT services, including website development, mobile applications, customized software, eCommerce solutions, ERP applications, integrations, digital services and related hosting or technical support. Eligibility for cancellation or refund depends on the type of service, work already completed, third-party costs and the agreed commercial terms.
2. Payments, invoices and payment confirmation
- Accepted payment methods: Available methods will be shown on the quotation, invoice, payment link or checkout page. These may include bank transfer, UPI, cards or other payment methods supported by the payment provider.
- Payment due date: Customers should pay the advance, milestone, recurring or balance amount within the timeline stated in the quotation or agreement.
- Taxes: Applicable GST and other statutory charges will be shown on the invoice where required. Tax treatment of a refund, credit note or cancellation will be handled according to applicable rules.
- Payment confirmation: A payment is treated as received once it is confirmed by the bank, payment gateway or other authorized payment provider. Keep the transaction reference and invoice for support.
- Duplicate or failed payments: If an amount is debited but the order or service is not confirmed, contact us with the transaction reference. We will check the payment status with the relevant provider.
- Chargebacks and payment disputes: Please contact Ecolods (TPS) first where practical so that we can investigate the invoice, delivery status or payment issue. This does not limit any rights available under applicable law or payment-provider rules.
Unless expressly agreed otherwise in writing, project work may begin after the agreed advance or initial payment is received. Milestone payments become due according to the approved proposal or project schedule.
3. Cancellation policy
3.1 Cancellation within 24 hours
As stated in Ecolods (TPS) published cancellation policy, customers may request cancellation within 24 hours of placing an order by contacting customer support. A full refund is generally issued for an eligible cancellation approved within this period, subject to any mandatory legal requirements and any order-specific terms that lawfully apply.
3.2 Cancellation after 24 hours
Requests received after 24 hours may be subject to a reasonable cancellation charge. The amount, if any, will be assessed with reference to the work already performed, resources allocated, non-recoverable costs, third-party commitments and the terms agreed for the order. Any applicable deduction will be explained during the review.
3.3 Work already started
For customized software, website development, mobile application development, integrations, implementation, consulting or other project services, cancellation after work has started may not qualify for a full refund. Completed milestones, delivered work, approved expenses and committed third-party charges may be accounted for as set out in the project agreement and applicable law.
3.4 Cancellation by Ecolods (TPS)
Ecolods (TPS) may cancel an order if a service becomes unavailable or a material pricing or description error is identified and cannot reasonably be resolved. The customer will be informed, and a refund for the amount paid for the cancelled undelivered order will be processed where applicable.
3.5 How to submit cancellation
Send your request from the email address used for the order, including the order or invoice number, payment reference, service name and reason for cancellation. A request is not confirmed until Ecolods (TPS) acknowledges it.
4. Refund eligibility
Refund eligibility is assessed individually. The following table summarizes the general approach; the signed quotation, service order or applicable law may provide additional rights or requirements.
| Situation | General approach |
|---|---|
| Eligible cancellation within 24 hours | Full refund generally applies after cancellation is reviewed and approved. |
| Cancellation after 24 hours | A reasonable cancellation fee or deduction for work and committed costs may apply. |
| Digital service accessed, downloaded or used | Generally non-refundable, except where a proven defect prevents proper use or a refund is otherwise required by law or the agreed terms. |
| Project milestone completed or deliverable accepted | Fees for completed or accepted work are generally not refundable unless the agreement or applicable law provides otherwise. |
| Order cancelled by Ecolods (TPS) due to unavailability or material error | A refund for the cancelled, undelivered order will be considered and processed as applicable. |
| Duplicate payment or confirmed payment error | Verified duplicate or excess payments will be reviewed for reversal or refund. |
| Third-party provider fee already charged | Refund depends on whether the provider can reverse the charge and on the relevant provider's terms. |
Nothing in this policy is intended to exclude a refund, remedy or consumer right that cannot legally be excluded or restricted.
5. Software, digital products and customized development
Software and digital services can involve customized work, configuration, design, coding, deployment, licensing, digital delivery and third-party purchases. For this reason:
- Fees for software, files, subscriptions or digital services that have already been accessed, downloaded, activated or used are generally non-refundable, subject to proven defects and applicable law.
- For a development project, any cancellation settlement may account for discovery, analysis, UI/UX design, development, testing, deployment, documentation, project management and other work completed up to the effective cancellation date.
- Where a deliverable has a reproducible defect against an agreed written specification, notify Ecolods (TPS) with steps to reproduce it and supporting evidence. We will assess the issue and, where appropriate, provide a correction or another remedy under the agreement.
- A change in business priorities, a change of mind, delayed feedback or failure to provide required content, approvals or access does not automatically establish a product defect or guarantee a refund.
- Source-code ownership, handover rights, licensing and access to project files are governed by the applicable proposal or agreement and are not changed solely by this policy.
6. Subscriptions, renewals and recurring services
Subscription fees, validity, renewal dates, cancellation notice periods and included features are described in the relevant plan or service order.
- Customers should request cancellation or non-renewal before the next billing date or within the notice period stated in their agreement.
- Unless the order terms or applicable law provide otherwise, cancelling a subscription stops future renewal but does not automatically refund the current paid period or unused time.
- Partial-month, partially used or unused subscription periods are generally non-refundable unless expressly stated in the plan, agreed in writing or required by law.
- Any auto-renewal, recurring payment authorization and cancellation procedure will be governed by the terms disclosed when the subscription or payment mandate is set up.
- Where a subscription is cancelled by Ecolods (TPS) or cannot be provided for reasons attributable to Ecolods (TPS), the affected amount will be reviewed for an appropriate refund or credit.
7. Hosting, domains, licences and third-party charges
Domain registrations, SSL certificates, cloud hosting, virtual machines, dedicated servers, software licences, SMS/WhatsApp services, payment gateways, shipping APIs and other external services may be supplied or billed by third-party providers.
- Third-party charges may be non-refundable once a domain is registered, a licence is issued, resources are provisioned or the provider has charged for the service.
- If Ecolods (TPS) procures a third-party service on the customer's behalf, any refund is subject to the provider's cancellation and refund terms, as well as the terms of the customer's order.
- Where a third-party provider approves a refund, processing time and the amount returned may depend on that provider and the original payment method.
- Any separately agreed setup, migration, configuration, support or management fee will be assessed under the relevant service agreement.
8. Physical products and return shipping, where applicable
Ecolods (TPS) primarily provides IT and digital services. If a specific order includes a physical product, the product-specific return conditions will be communicated in the relevant order or invoice.
- Where a return is accepted, the item may need to be returned with its accessories, packaging and documentation in the condition specified in the order terms.
- Return shipping costs are generally borne by the customer unless the return is due to a verified defect, incorrect item or error attributable to Ecolods (TPS), or applicable law requires otherwise.
- Contact support and obtain return instructions before dispatching an item. Unrequested returns may be delayed or may not be identifiable.
9. Refund review and processing time
Once a cancellation or refund request is approved, Ecolods (TPS)'s published policy states that refunds are generally processed within 7–10 business days from cancellation approval. This is the expected processing window, not a guarantee that every bank or payment provider will post the funds within that period.
- Ecolods (TPS) reviews the order, payment, cancellation time, work status and applicable terms.
- We may contact the customer for additional details or documents needed to verify the request.
- After approval, the refund is initiated through the original payment method where possible, or by another mutually confirmed lawful method.
- The bank, card issuer, UPI app or payment gateway may require additional time to display the credit.
If the refund has not appeared after the expected processing window, contact us with the order number, payment reference and refund approval details so that we can check the status.
10. Exceptional cases and refund disputes
Ecolods (TPS) understands that unusual circumstances may arise. Requests involving duplicate charges, an order that could not be delivered, a verified technical defect, a payment error or other exceptional circumstances can be submitted for individual review.
To help us investigate, provide the invoice or order reference, date and amount paid, payment transaction ID, a description of the issue and relevant screenshots or other evidence. We may request additional information reasonably necessary to review the claim.
Where a refund is not approved, we will communicate the decision and, where appropriate, explain the relevant order terms or work/cost assessment. This does not restrict a customer's statutory rights or access to any competent grievance or dispute-resolution forum.
11. How to request a cancellation or refund
Please contact Ecolods (TPS) using the details below. Include the following information to help us process your request efficiently:
- Your full name and company name, if applicable.
- Registered email address and contact number.
- Order number, proposal number or invoice number.
- Service or subscription name, payment date, amount and transaction reference.
- Whether you are requesting cancellation, a refund, correction of a payment or investigation of a technical issue.
- A concise explanation and relevant supporting evidence.
Please do not send passwords, full card numbers, CVV codes, UPI PINs or other payment credentials by email or phone. We will never need your payment PIN to investigate a refund.
12. Policy updates
Ecolods (TPS) may update this policy to reflect changes in services, payment-provider requirements, business processes or applicable law. The updated version will be published on this page with a revised review date. An update does not override a signed agreement or mandatory legal rights retrospectively where that would be unlawful.
